Refund Policy

We are committed to delivering quality publishing services. This policy explains how refund requests are handled and what you can expect from us.

1. Overview

At Quill Forge Publishing, we take pride in the quality of every service we deliver. Refund eligibility is determined on a case-by-case basis in accordance with the terms of your signed Service Agreement.

This policy provides general guidance on how refund requests are assessed. Your specific contractual terms, agreed upon at the time of purchase, govern your individual refund rights and take precedence over the general guidance below.

Your Service Agreement: If you have questions about the specific refund terms applicable to your project, please refer to your signed Service Agreement or contact us at info@quillforgepublishing.com.

2. Pre-Production Refunds

If your project has not yet entered production — meaning no editorial, design, or publishing work has commenced — you may be eligible for a full or partial refund.

Eligible for full refund:

  • Cancellation requested before any work has begun on your manuscript
  • Service not yet assigned to an editor, designer, or publishing specialist
  • Request submitted within 7 days of payment

Eligible for partial refund:

  • Cancellation requested after initial intake consultation but before production begins
  • Administrative costs incurred during onboarding may be deducted

Important: "Pre-production" is defined as the period before any work has been assigned or initiated. Once your project enters the production queue, the in-progress refund terms below apply.

3. Work-in-Progress Refunds

Once production has begun — including editing, cover design, formatting, or any other active service — refund eligibility is reduced to reflect the work already completed.

How partial refunds are calculated:

  • The total service fee is assessed against the percentage of work completed at the time of cancellation
  • A written breakdown of completed work and any applicable refund amount will be provided within 10 business days of a cancellation request
  • Work already delivered (e.g., a completed editing pass, a finalised cover design) is non-refundable

We encourage clients to communicate concerns early. If you are dissatisfied with any deliverable, please contact us before requesting a cancellation — in many cases we can revise the work or reassign it to better meet your expectations.

4. Completed Work

Services that have been fully delivered, approved, or published are generally non-refundable. This includes:

  • Manuscripts that have been fully edited and returned to the author
  • Cover designs that have been approved and delivered
  • Books that have been submitted to distribution platforms (Amazon KDP, IngramSpark, B&N Press, etc.)
  • Marketing campaigns or promotional materials that have been published or distributed

If you believe a completed deliverable does not meet the agreed specifications, please contact us within 14 days of delivery. We will review your concern and determine whether a revision or, in exceptional cases, a partial refund is appropriate.

5. Digital Products & Downloadable Content

Digital products — including formatted e-book files, digital cover files, and any downloadable content — are non-refundable once delivered, as they cannot be returned.

Exception: If a digital product is materially defective or does not match the agreed specification, please notify us within 7 days of delivery and we will provide a corrected version at no additional charge or, if correction is not possible, assess refund eligibility.

6. How to Request a Refund

To submit a refund request, please follow these steps:

  • Step 1: Email info@quillforgepublishing.com with the subject line: "Refund Request — [Your Name / Project Name]"
  • Step 2: Include your order reference or invoice number, a description of the service purchased, the reason for your refund request, and any supporting documentation
  • Step 3: Our team will acknowledge your request within 2 business days
  • Step 4: We will review your request against your Service Agreement and this policy, and provide a written decision within 10 business days

All refund decisions are communicated in writing. If your refund is approved, the amount will be returned to the original payment method within 5–10 business days of the decision, subject to your payment provider's processing times.

7. Processing Timeline

  • Acknowledgement: Within 2 business days of your request
  • Decision: Within 10 business days of your request
  • Refund issued: Within 5–10 business days of an approved decision
  • Bank/card processing: Additional 3–5 business days depending on your financial institution
